Most teams that search for outsourced Salesforce admin are choosing between one full-time hire and a retainer. The right answer depends on volume and on how many skills the role has to cover, and sometimes the honest answer is the hire.

When one in-house admin is right

The org is large enough to keep one person busy every day with configuration, user support and releases. The work is mostly one skill set (declarative admin) and rarely needs Apex, integrations or CPQ. You already have a manager who can direct the backlog and cover for vacations and turnover. When a retainer works better

The backlog is real but uneven: some weeks need an architect, others a data cleanup, most an admin. You want a named admin backed by the wider team so nothing stops when one person is out. Releases, integrations and API changes need someone who has handled them in other orgs. A flat monthly amount is easier to budget than salary, benefits, training and the cost of a vacancy.

The vacancy. An in-house admin who leaves takes three to six months to replace, and the org drifts the whole time: permissions pile up, flows break on a release, reports stop matching. A retainer with a named admin and a backup on the same team does not have a vacancy.
